Cluas Centre Ltd operates this website (soundtherapy.ie) for its adult Sound Therapy programme. By using this website you accept the terms of this Privacy Policy. We believe it is important that you know how your personal information is collected, used and shared when you visit soundtherapy.ie.

Information we collect through forms

This is data that identifies you or can be used to identify or contact you, and may include your name, location, email, phone number, date of birth, and a message. This information is only collected when you voluntarily submit it to us — by filling in the form on our website or by corresponding with us by phone, email or otherwise. By providing us with this information, you consent to us using it to contact you and talk to you about our services. We do not record calls ourselves. Calls to us may be answered by our telephone answering service (KBVO) on our behalf; if you would like to know whether calls are recorded and how any recordings are handled, please contact us.

Sensitive personal data

Aside from our contact form, we do not collect sensitive personal data through this website. After we have spoken with you and you have decided to book a consultation, we will send you a pre-consultation questionnaire through our booking and records system (Cliniko). You will be asked to provide sensitive data to allow us to carry out the consultation and provide our services. You do not have to fill out every section if you are not comfortable doing so. This information is not shared with any third party and is treated with the highest level of confidentiality. We may only disclose it where you have given explicit consent, where we have a legal obligation to do so, or where necessary to protect your health and welfare.

AI-assisted enquiry responses

To help us respond to website enquiries promptly and personally, we use AI-assisted technology provided by Anthropic (Claude). When you submit an enquiry through our contact form, your details are securely transmitted to Anthropic’s servers solely for the purpose of helping us draft a response. This data is not used for any other purpose, is not used to train AI models, and is not retained by Anthropic beyond a short processing period. All AI-assisted responses are reviewed by our team before being sent to you. We have a Data Processing Agreement in place with Anthropic to ensure your data is handled in accordance with GDPR requirements.

Non-personal information

When you visit this website we may collect certain non-personal information about your device, including your browser type, IP address and time zone, and information about the pages you view and how you interact with the site. With your consent, this is collected through Google Analytics and used only to produce anonymous statistics that help us improve the website. What happens to your data

We will not collect identifying information about you — such as your name, address, telephone number or email address — unless you voluntarily submit it to us. We treat all identifying information you submit as confidential and do not sell it to third parties. It will not be used beyond the purpose for which it was provided. We hold all personal information securely, in accordance with the General Data Protection Regulation (GDPR) and applicable Irish data protection law.

Marketing

Occasionally we may contact you by email, SMS, post or other means with information about products and services we provide that we believe may interest you. We will only send marketing messages in line with the preferences you set, and you can opt out at any time — by using the unsubscribe link in any marketing message, or by contacting us using the details below.

Who we share your data with

We may share your personal information with service providers who help us run the practice, including our website form provider (Basin), our booking and records system (Cliniko), our telephone answering service (KBVO), our AI-assisted response tool (Anthropic), our website hosting (Google Firebase), and payment, data-analysis, IT and teleconferencing providers. These providers act on our instructions under appropriate agreements. We may also share information with our supply-chain partners and sub-contractors where necessary, and with police, law enforcement or security services where required. We do not sell your information, and we do not disclose it to anyone else except as set out here or where required or permitted by law.

How long we keep your data

Personal information is retained for no longer than is necessary for the purpose for which it was obtained, and no longer than permitted by data protection law. Where there is no legal or contractual requirement to keep it longer, we generally retain electronic records for 24 months after your last contact with us, and physical records for 6 years from the final review meeting (at discharge). Information relevant to personal injury or discrimination claims may be retained until the relevant limitation period has expired. Please let us know if your details change so we can keep our records accurate.

Your rights

Under the GDPR you have the right to be informed about how your information is used; to receive a copy of the information we hold about you; to have inaccurate data corrected; to have your data erased; to restrict or object to certain processing; to ask us not to use your data for marketing; to data portability; to object to certain automated decision-making; and to complain to the Data Protection Commission or seek a judicial remedy. We will respond within one month of receipt, which may be extended by up to two further months for complex requests.
